Purpose: The Campus Calendar and Event Coordinator serves as the point person for the school’s internal and public calendar, event scheduling and logistics coordination. In addition to coordinating locations and resources, the person in this position must effectively communicate with a variety of the school’s constituencies in a professional manner, have the ability to proactively solve problems, be an excellent multi-tasker, and provide excellent internal and external customer service.
Venue and Event Coordination
-Manage all space, calendar, and resource requests outside of the academic calendar. Recognize and proactively resolve possible scheduling overlaps and conflicts
-Manage and control the quality of the school’s master calendar in Veracross in a manner that organizes and informs internal audiences of schedules, availability, resources, and event requirements and needs
-Partner with the Athletic Department and division administrators to ensure accurate and timely communication of events and schedules
-Maintain online external calendars found on www.esdallas.org with audience-appropriate information
-Lead weekly Resource Team meetings (a group of more than 15) to coordinate room setups and resource requirements, including but not limited to Facilities, Technology, Communications, Campus Safety, SAGE Food Service, Athletics, and external vendors, as needed
-Assist the Senior Chaplain in coordinating and implementing special services held in the chapel
-Serve as point person for all external rentals from inquiry, signing and execution of the contract.
-Attend weekly Communications Team meetings, as needed, to ensure all appropriate events and activities are considered and discussed in communications planning
-Partner with and support the ESDPA Liaison with their on campus activities and events, including Rally Days, Back to School Events, Carnival, Halloween Party, Dances, and Buy the Experience events.
Additional operational support responsibilities:
-Assist Assoc. Head of School with on campus signature events and activities; including the Community Meetings, Graduation, Faculty Inservice Days, Homecoming, and Alumni Weekend.
-Attend signature special events through completion, as needed
-Coordinate with Resource Departments, including facilities, security, Sage, and IT depts, regarding upcoming events, planning, logistics, and requirements; supervise outside vendor support as directed.
-Meet with facilities lead and/or team weekly to ensure clear understanding of expectations for the week.
-Plan, design and coordinate messaging on both outdoor digital marquee signs.
-Assist the ESDPA liaison with various needs, including social media support, using provided photos and captions
-Perform other duties and responsibilities as assigned.

Working Environment:
Occasional lifting, carrying, pushing, and/or pulling
Generally, 60% sitting, 20% walking, and 20% standing
Minimal temperature variations with some outdoor work required
Occasional evening and weekend work required
Generally, a hazard-free environment.
Requirements
-B.A. degree with an emphasis in Communications, Data Management, Logistics, Facilities Management, or related field, or relevant experience
-Proactive self-starter with exceptional organizational, problem-solving, and time management skills
-Adaptable, quick learner who can navigate and resolve challenging situations with a friendly demeanor and professionalism, including the ability to say no
-Strong interpersonal, oral, and written communication skills; team players only
-Knowledge of venue management compliance and code requirements is a plus
-Working knowledge of digital communications; data management experience is a plus
